Planning your content tasks

Use the Planning page in WebSked to see and manage all content flowing through your publication pipeline.

From the Planning page, you can complete the following:

  • search and filter content by date, time, source, editorial or sponsored content, live status and workflow status,

  • save custom searches for future reference,

  • view content cards with relevant information, such as workflow status, publish status, content origin, authors' names, and primary section,

  • drag and drop content in the calendar views to update planned ready times and

  • access your content publication statistical details.

The Planning page has four main views:

  • List view - shows all content published or planned for publication from midnight of the current day onward. The content is ordered by WebSked Date, indicating when it is expected to be published.

    Tip

    WebSked date is determined using the following logic:

    • If the content has been published, it uses the Published Date.

    • If the content is scheduled to be published, it uses the scheduled Publish Date.

    • If the content is not published or scheduled, it uses the Planned Ready Time.

    • If no date is set, it uses the To Be Determined (TBD) category. This content does not show up in the 1-Day and 7-Day views.

  • 1-Day view - shows a calendar view with all the content scheduled for a specific day.

  • 7-Day view - shows a calendar view that displays content for between two and seven days at once.

  • Stats - shows detailed statistical information of your publishing workflow.

By default, WebSked opens the List view, which displays content cards for all content published or planned for publishing from midnight of the current day onward.

Each content card displays the following information:

  • Feature media - shows what type of content it is:

    • ws_icon_pencil.png- a Composer story

    • ws_icon_play.png- a Video Center video

    • ws_icon_copy.png- a Photo Center gallery

  • Slug - shows the content URL-friendly identifier containing English lowercase letters, numbers, and hyphens.

  • Workflow status - shows the content status, for example, Review, Draft, or Urgent assignment. These statuses depend on your organization's workflow status configuration.

  • Title - shows the content title.

  • Publishing status - shows the content publish status:

    • icon_live.png- Published/Live

    • icon_scheduled.png - Scheduled to Publish

    • icon_notlive.png- Not Live (not scheduled)

  • Asset counters - shows the number of pitches icon_pitches.png, collectionsicon_collections.png, publications icon_publications.png, and tags icon_tags.png associated with each content.

  • Website - shows the website where the content is circulated.

As an editor of The Herald, you must plan your content for the week after Election Day.

You use the WebSked Planning page to see the planned stories, videos, and photo galleries that your team is considering publishing in the following three days.

You notice that a story needs edits before going live. From WebSked's 7-Day view, you spot the story, click it, open it in Composer, make the necessary changes, and schedule it for publishing.

To ensure everyone remains coordinated, you use the WebSked Calendar to update your editor's squad on changes, keeping everyone aligned on coverage plans. With WebSked, your team stays organized and responsive, delivering timely and well-edited content to your audience.

Procedures

Managing the calendar

Filter is one of the most powerful ways to use the calendar. Configuring your calendar to display only the content that's relevant or necessary to your workflow is an efficient way to manage your plans. 

The filters you set persist in WebSked, even when you navigate away from the page, until you click Reset filters. This is particularly important when switching between 1-day and 7-day views. However, the filters do not persist between the current List view and the calendar view; each view has its unique set of filters.

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 1-Day view. The Calendar view opens.

  3. Click the Funnel icon icon_funnel.png. The Filter pane opens.

    To close the Filter pane, click the closing icon close_icon.png.

  4. Complete the following fields:

    • Search for... - enter keywords to view only content related to those terms. The system searches an item's headline, summary, and slug.

    • Date type - select the WebSked Date you want to use as a filter: Target date, Created Date, Last updated, or Relevance (No date).

    • Sort by - select the alphabetical order of the listed items, Ascending or Descending.

    • TBD - toggle on or off to define your search's start and end date.

      • Start Date - define a start date for your search. This field only appears if the TBD field is toggled off.

      • End Date - define an end date for your search. This field only appears if the TBD field is toggled off.

    • Author / Creator / Editor - enter a creator's name to view only their content.

    • Publish status - select the content publish status from Live/Published, Scheduled, and Planned.

    • Content type - select one or more of the available content types: Story, Video, and Gallery.

    • Distributor - filter content from a particular source, such as a Composer story or a wire from the Associated Press. The available options depend on what your organization has configured as distributors.

    • Workflow status - select one or more of your preconfigured workflow statuses to view stories and galleries in that status.

    • Website - if your organization has more than one website, select one of your pre-configured websites to view content planned for only that website.

    • Section - select one or more available sections configured for each website to view content planned for only those website/section combinations.

    • Paywall status - define what level of access the content has, for example, available to subscribers only or free access.

    • Platform pitch status - select the pitching status from the following options: Pitched, Withdrawn, Not watching, Watching, Saving, and Used.

    • Publication pitch status - set the pitching status from the available options: Pitched, Booked, and Declined.

    • Sponsored content - select the type of content to search, Editorial or Sponsored.

    • Platform pitches - select platforms to view only content pitched to that platform. Also, choose to view content that is not pitched to any platform.

    • Publications pitches - select publications to view only content configured for that publication. Also, choose to view content not pitched to any publication.

  5. Optionally, click Reset filters to clear your filters.

After you filter the content list on the calendar, you can save your search and filter settings to reuse later.

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 1-Day view. The Calendar view opens.

  3. From the left pane, click the bookmark icon icon_bookmark.png.

  4. Click Save current filter. The Create saved filter window opens.

  5. Insert a name for the search filter.

  6. Click Save.

After saving your search, you can use it to filter the calendar content quickly. WebSked displays only content matching your search and filter settings when selecting a saved search. WebSked also opens the filter bar when all your filter settings are applied.

To use a saved search in your workflow, complete the following:

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 1-Day view. The Calendar view opens.

  3. From the left pane, click the bookmark icon icon_bookmark.png.

  4. Click the name of the saved search you want to use. WebSked applies the saved search settings. 

You can configure the 7-Day view to show up to seven days of content or narrow the view to two days to review what is planned only for the short term. To adjust the 7-Day view, complete the following:

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 7-Day view. The calendar opens and shows your planned publications for the following seven days.

  3. In the upper right corner, click the Set week size drop-down menu.

  4. Select the number of days you want to display in this view. Your calendar automatically adjusts the view to match your choice.

Content cards let you quickly spot content's important details, such as workflow status, WebSked date, and pitches.

To preview content, complete the following:

  1. Navigate to the WebSked application. The WebSked page opens.

  2. In the List view, navigate to the desired content card and click the story name. The preview pane opens.

    You can also hover over the kebab icon kebab_icon.png and click Preview. The preview pane opens.

  3. Click Detailed view. The content detailed view opens.

    From the right menu, you can perform the following actions:

    • Click the pitches icon pitch_icon.png. The Pitches panel opens, allowing you to pitch content to a platform, a collection, or a publication. For more details, see Pitching content in WebSked.

    • Click the tasks icon task_icon.png. The Tasks panel opens, allowing you to view the story's related tasks or create a new task for them. For more details, see Creating a new task manually.

    • Click the information icon information_icon.png. The Metadata panel opens, displaying

  4. Click Open in editor to open the content in their corresponding editor: Composer, Photo Center, or Video Center. The content editor opens, allowing you to make and save all the necessary changes.

To review specific details about an item on the calendar, complete the following:

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 1-Day view or 7-Day view. The calendar opens.

  3. Click the calendar item you want to review. The Calendar detail window opens.

  4. Review the following fields:

    • Headline / Title - click to preview the story, gallery, or video.

    • Statuses - describes the Content type with the following icons: story, gallery, or video).

    • Published status - shows the article status, from Published, Scheduled, or Planned.

    • Workflow status - shows the status of that content based on your workflow's steps.

    • Website - shows the website to which this content item is circulated.

    • Section - shows the section to which this content item is circulated.

    • Author - shows the name of the creator of the content item.

    • Slug - shows the content's slug or categorized descriptor.

    • Target Date - shows when the content is planned to be published.

    • Published date - shows the date and time to publish this content.

    • Last Updated Date - shows the most recent update date and time.

  5. Click out of the window to return to the calendar.

Important

You cannot edit a content item from the calendar. To make changes to an item, you must edit it in Composer, Photo Center, or Video Center.

Managing story details

When visualizing your content, you may want to adjust items to align similar content or spread your schedule. You can move only items that have a Planned ready time but haven't been published or scheduled to publish, meaning items that do not have the published or scheduled icons. To change a planned date and time, complete the following:

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 1-Day view or 7-Day view. The calendar opens.

  3. Click a content item that has not been published or is scheduled to be published.

  4. Drag and drop the content item to a new date and time. Depending on the content type, the system updates the planned ready time in Composer or Photo Center.

The calendar is a planning tool, and you can move only content that is still in its planning phase. If you have a scheduled story that you want to move, you must update it in the Composer application. To change a story's scheduled date and time, complete the following:

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > 1-Day view or 7-Day view. The calendar opens.

  3. Click the calendar item you want to change. The detailed view of the content item opens.

  4. Click the content's Headline/Title. A new window opens, showing WebSked's Preview page.

  5. Click Open in editor. The content opens in Composer.

  6. Click Unschedule.

  7. Click Publish.

  8. Select a new publishing date and time.

Managing your team and stats

As you view the calendar, other users might change that content. When the other users save their changes, you see those updates reflected on your screen within a minute.

For example, a teammate may move a piece of content to a new date and time or change the headline. WebSked automatically refreshes your screen seamlessly to reflect those changes.

Use the Stats tab on WebSked's Planning page to track if your editorial teams are producing content as expected.

  1. Navigate to the WebSked application. The WebSked page opens.

  2. Click Planning > Stats. The Planning Stats dashboard opens.

  3. Review the following categories' statistical information:

    • Key stats - displays your organization's content production Key Performance Indicators (KPIs), including the number of published stories, the pitched stories percentage, the accepted pitches percentage, and the median of deadline miss.

    • Content published per window - shows when content is being published throughout the day.

    • Story count - measures the number of stories over time. It displays a bar graph showing the stories count for different dates. When accessing detailed stats and hovering over a bar in the graph, you can see the specific story count for that date period.

    • Pitched stories - measures the content pitched by content creators to suggest their content for inclusion in different destinations.

  4. Click Detailed view in each of the tiles to configure and review statistical information for specific dates, sections, and platforms.

  5. Click the Stats tab to navigate back to the general Planning Stats dashboard.
