How to Configure Image Templates

Image Templates, much like Starting Templates in Composer, help you to speed up the photo uploading process by pre-filling commonly used metadata on images.  Image templates also allow you to require fields by image type.  

How are image templates different from image types

Templates are for images uploaded through the Photo Center UI and their function is limited to this upload time.

Types impact images throughout is lifetime in Photo Center: during and after upload. Types determine which fields show in the UI and which are required.

Templates allow admins to set default values and require extra fields (in addition to the type’s required fields) only at the time of upload. After the upload process is finished, only the type’s required fields are enforced. Thus you can think of templates only affecting the manual upload page; templates do not affect the edit image or bulk edit pages.

The template inherits from its image type…

  • Which fields show in the UI

  • Which of those fields are required

These are configured through the template:

  • Which additional fields are required

  • Default fields (first preference to existing metadata, secondary preference to pre-populated value)

How to configure your templates

View Templates

Only users with permission to edit Photo Center settings can manage templates.

In Photo Center settings, go to “Image Field Settings” and “Manage Templates.” You will be able to create a template or see any existing templates.

For an existing template, you can go to the edit template page to edit fields, set default values, or edit the name and description of a template.

Create a Template

To create a new template, click on the button to create a template. You will be asked to enter the image type, name, and description. If you do not see your desired image type, check that this image type is enabled.

View or Edit Shown or Required Fields in a Template

Click on “Edit fields” for the desired template. You will be taken to a page to see which fields will show on the manual upload form (as determined by the image type), which fields are inherently required (as determined by the image type), and which fields you can to require or not require as additional required fields at the template level.

Set Default Values in a Template

Click on “Set default values” for the desired template. You will be taken to a page to edit the default values for a limited set of fields. (Some fields, such as uploaded date, we do not permit setting default values for.) After setting your default values, save your changes.

Note

The order in which the fields are shown on this page does not reflect the order in which they will appear on the manual upload form.

Edit Template Name and Description

Click on “Set default values” for the desired template. You can edit the template name and description shown to Photo Center users. However, you cannot edit the image type since that is fixed when you create a template.
